A. Colleague includes four integrated systems - the Student, Financial, and Human Resource and Core Systems. The Core System is at the center of Colleague's integration, providing a central location for information, workflow development, and processing rules used throughout Colleague. Colleague's Student System application is comprised of the following modules:

| Q. What is Benefactor? |
|
A. Benefactor Institutional Advancement is a fully integrated suite that provides institutional advancement and alumni officers the ability to manage appropriate demographic information, move constituents through the cultivation process, and keep a detailed history of giving and contact patterns. Advancement and alumni officers using Benefactor Institutional Advancement effectively manage their campaign goals and donor information, and maximize the benefits of their constituent relations.
The Gift and Pledge Processing application is designed to track all aspects of gifts and pledges, including planned gifts, memorials and honorariums, and gifts-in-kind. |
| Q. How do I gain access to Colleague or Benefactor? |
|
A. Only administrative staff and full-time faculty members can access Colleague or Benefactor. Work study students are given access per request by the work study supervisor. You will need to fill out the Colleague / Benefactor Request for Access Form (PDF). The completed form is returned to the IT Help Desk in Gander 25. Processing can take approximately 2 business days. You will be notified via email once your account is established. |
| Q. My Colleague or Benefactor password doesn't work. What do I do? |
|
A. There are many reasons why you are unable to log on to Colleague or Benefactor. Here are some things to check before calling the Help Desk at Ext 9506 for assistance.

- Passwords for Colleague or Benefactor are case sensitive and are generally alphanumeric. Make sure that your CAPS lock key is turned off.
- If you are using Datatel User Interface (UI), make sure that you have the correct database selected from the Database drop-down menu.
- If you are using Datatel User Interface (UI), make sure that your user ID is in the user ID box. If another user logged in to Colleague or Benefactor using your computer, UI may have stored his/her user ID. You will need to re-enter your user ID in the user ID box.
- Did you enter the correct user ID? Your Colleague or Benefactor user ID may not necessarily be the same as your network user ID.

| Q. I logged into Colleague or Benefactor but can't see my mnemonics (or processes). What do I do? |
|
A. If you are using Datatel User Interface (UI), make sure that you are in the proper application. On UI's Menu bar, click on Apps, and select your application area (ST for Student System, CF for Financial System, HR - Human Resources System, CORE for CORE System, and FR for FundRaising).

| Q. How do I print a screen shot in Colleague or Benefactor? |
|
A. The 'print screen' is not a mode that is supported in UI 1.0. To accommodate our users who are accustomed to the 'print screen' capability in the terminal mode, we have installed software called ScreenPrint32. To install and use ScreenPrint32, please follow the procedure in Printing Colleague and Benefactor screens Using User Interface 1.0 document (PDF). |
| Q. I want to run a process in Colleague or Benefactor but I don't see that particular process on my menu of choices. What do I do? |

A. You might not have access to that particular process (mnemonic). Please check with your supervisor or AIS to see if you have access to that process. To request for additional access, please fill out the Colleague / Benefactor Request for Access Form (PDF). |
| Q. I need Colleague or Benefactor training. What do I do? |
|
A. To request Colleague training, please call the Business Systems Analyst at Ext 9345. To request Benefactor training, please call the Director of Institutional Services at Ext 9379. Datatel training is available through Datatel at their training sites in Fairfax, VA; Austin, TX and San Francisco, CA. The course descriptions and training schedules are available on-line. |
| Q. What is AccessMaryville for Employees? |
|
A. Maryville University provides a service called AccessMaryville to its faculty, staff, and students that allow individuals to access information contained in the administrative database. AccessMaryville for Employees allows staff access to their leave plan, position, and budget information. |
| Q. How do I gain access to view my budget online? |
|
A. Budgets can be viewed online via AccessMaryville for Employees. Employees who are responsible for budgets must request budget access from the Controller. The employee must also have a Colleague account to view budget online. If you do not have a Colleague account, please fill out the Colleague / Benefactor Request for Access Form (PDF). You will be notified by email when your account is established. |
